Gravity Payments merchants should begin with the company’s Merchant Logins page and choose the route assigned to their merchant ID. This independent guide is not affiliated with Gravity Payments.

The login is only one part of account maintenance. A business may also need to update its deposit bank account, change contact information, report new ownership, find monthly statements, or correct tax details. Those requests do not all use the same process.

What Is Gravity Payments?

Gravity Payments provides merchant payment-processing services for businesses accepting payments through terminals, online tools, integrated software, virtual terminals, and other configured channels. Gravity Dashboard gives supported merchants a centralized view of recent transactions, batch history, sales performance, statements, and payment tools.

Most searches for Gravity Payments lead to a practical account task:

  • Sign in to the merchant portal
  • Check whether an application has been approved
  • Update business or banking information
  • Change ownership details
  • Find a statement or merchant ID
  • Resolve an account or tax-record problem

The important distinction is authorization. An ordinary employee may be allowed to review transactions but not change the bank account or ownership information.

Check the account role before starting.

Use the Official Merchant Login Route

Gravity’s Merchant Logins page identifies Gravity Dashboard as the place for monthly statements, batch reports, and Virtual Terminal access. It also lists a legacy gateway console and gift-card server for merchants using those products.

Use this sequence:

  1. Locate the merchant ID for the affected account.
  2. Open the Gravity Payments Merchant Logins page.
  3. Select the option matching the MID or product.
  4. Sign in through the resulting portal.
  5. Confirm the business location displayed.
  6. Open the account-management or reporting area needed.

Do that first. Skip old bookmarks.

Some standalone or non-integrated merchants use Access One. Gravity says Access One is available when the company MID begins with 4 or 5 and can include batch history, chargeback information, and monthly statements.

A valid password does not prove that the correct merchant account is open. Businesses with several locations may have different MIDs, statements, batches, and deposit records.

How Long Does a New Gravity Payments Account Take?

Gravity’s account-management guidance currently states that account approval takes one to two business days. Once approved, equipment ships in two to three business days.

Those are published processing stages, not a guarantee that every business will begin accepting payments within the same total timeframe.

Additional time may be needed for:

  • Application corrections
  • Requested business documents
  • Equipment delivery
  • Software or gateway integration
  • Terminal configuration
  • Staff training
  • Bank verification

Do not count equipment-shipping time from the date the application was first started. Gravity’s published sequence places shipping after account approval.

A merchant waiting for activation should check whether Gravity requested more information before assuming the account was declined.

Find the Merchant ID Before Requesting Changes

The merchant ID, often shortened to MID, helps Gravity identify the processing account affected by a request. Gravity says the MID can be found in the installation email or in the top-left corner of a merchant statement.

The MID is different from:

  • A terminal ID
  • A batch number
  • An approval code
  • A customer invoice number
  • A device serial number
  • A Dashboard username

Provide the right identifier.

A business with several locations should verify the MID for the exact location that needs an update. Changing information on one merchant account may not automatically change another account operated by the same company.

Keep the MID inside Gravity’s official support or authenticated account process. Do not post it publicly or send it to an unverified caller.

Change General Account Information

Gravity’s account-management page says deposit-account changes may be available through Gravity Dashboard. For other account updates, Gravity directs merchants to call its support team at 866-701-4700.

General account updates may include items such as:

  • Business contact details
  • Mailing information
  • Statement-delivery preferences
  • Authorized account contacts
  • Operational information tied to the merchant profile

Do not assume that editing a profile field changes the legal merchant record. Some updates may require verification through support.

Use this order:

  1. Identify the merchant account and location.
  2. Determine whether the request concerns banking, ownership, or ordinary contact information.
  3. Enter through Gravity Dashboard when a documented self-service route exists.
  4. Contact official support for other updates.
  5. Confirm the change on a later statement or account screen.

Keep copies of confirmation messages and note the date of the request.

Change the Deposit Bank Account

Gravity provides a self-service bank-account-change route inside Dashboard for eligible accounts. The process begins under Account Management, and Gravity states that only owners and authorized signers can complete it.

That restriction is important because the bank account receives merchant deposits.

A bookkeeper may need statements without being authorized to redirect funds. A cashier may need transaction access without account-management rights. Separating those permissions reduces the risk of accidental or unauthorized changes.

Before starting, confirm:

  • The correct merchant location is open
  • The user is an owner or authorized signer
  • The new banking information belongs to the intended business
  • No unexpected caller or email initiated the request
  • The business can monitor later deposits for confirmation

Do not change banking information through a caller-provided link. Start from the known Gravity Dashboard route or call Gravity through its published support page.

A delayed deposit immediately after a bank change should be investigated through support rather than corrected by submitting the change repeatedly.

Report a Change in Business Ownership

Gravity’s official ownership-change guidance instructs merchants to contact their sales representative. When the business does not know who the representative is, Gravity directs it to call 866-701-4700 for help.

An ownership change is not the same as changing a Dashboard user.

Removing an old employee and adding a new administrator does not update the legal owner associated with the merchant-processing relationship. A true ownership change may affect underwriting, tax records, authorized signers, deposit instructions, and the merchant agreement.

Start early.

Do not wait until the closing date to discover which documentation is required. The exact process can depend on the structure of the sale and the existing merchant account.

After the change is completed, review:

  • Dashboard administrators
  • Authorized signers
  • Deposit bank information
  • Statement recipients
  • Taxpayer information
  • Dispute Manager contacts
  • Equipment or software access

Old users should not retain access merely because the legal ownership update was completed elsewhere.

Review Statements After an Account Update

Gravity says most statements are emailed near the beginning of each month. Fees debited during the first few days reflect the previous month’s processing.

Inside Gravity Dashboard, merchants can select Statements from the left-side panel, open the most recent statement, or choose a prior month by location.

Review the next statement after an account change to confirm:

  • The correct business name
  • The correct merchant location
  • Expected statement delivery
  • The relevant merchant ID
  • Ordinary processing activity
  • Any unexpected account-level entry

A bank-account change should also be checked against actual settlement deposits. Do not rely only on the confirmation screen.

For multi-location businesses, use the Past Months – By Location selector before concluding that a statement is missing.

Taxpayer Information and Backup Withholding

Gravity’s backup-withholding guidance explains that merchants must provide accurate taxpayer-identification information, such as an EIN, SSN, or ITIN when applicable. It states that incorrect or incomplete tax information can trigger IRS backup-withholding requirements.

Gravity’s page identifies payment-card and third-party network transactions reported on Form 1099-K among the payment categories that can be affected. It also notes that backup withholding may continue until the underlying tax-information problem is corrected.

This is a tax-sensitive issue.

Do not guess which identifier belongs on the account. The legal name and taxpayer-identification number should match the business’s tax records.

When a notice appears:

  1. Read the notice carefully.
  2. Confirm the legal business name.
  3. Verify the taxpayer-identification number against official records.
  4. Contact Gravity through its official support route.
  5. Consult a qualified tax professional when the correction is unclear.

Gravity’s page also states that Gravity Payments itself does not withhold the merchant’s income. The withholding issue described is tied to IRS requirements and payer reporting.

Keep User Access Separate From Legal Account Changes

Gravity’s Dashboard user settings distinguish Merchant Admin and Merchant User roles. Merchant Admin users can create users, view transactions, and reset passwords, while Merchant Users have more limited account functions. For businesses with multiple locations, Gravity instructs administrators to filter by account before adding a user.

User administration should follow an ownership or staffing change, but it does not replace the legal account-update process.

After an employee departure or business sale:

  • Deactivate users who no longer need access
  • Reset shared credentials that may have existed
  • Confirm location assignments
  • Review statement access
  • Review payment and refund permissions
  • Confirm MFA enrollment
  • Check who can initiate account changes

Use individual credentials. Skip shared administrator accounts.

A former owner or employee should not remain able to view transactions or statements because the team assumed an ownership-change request would remove Dashboard access automatically.

Prepare Before Calling Support

Gravity’s official support page lists 866-701-4700, offers multilingual support 24 hours a day, and says nonurgent tickets receive a reply within one business day. Urgent matters should be handled by phone.

Prepare these details:

  • Business name
  • Merchant ID
  • Affected location
  • Current owner or authorized signer
  • Type of change requested
  • Date the change should take effect
  • Portal or product being used
  • Any visible error wording

Do not place passwords, full banking credentials, or customer payment information in the initial ticket.

Gravity’s support page also provides an official screen-sharing route for merchants who are already speaking with support and have received a session key. Start remote assistance there rather than through software supplied by an unverified caller.
